The following guidance will help you prepare for your new calling experience with Vonage. To learn more about this effort, see the Telecom Replacement Roadmap.
Before Implementation
- You will receive email communications from ITS prior to the maintenance window. Read through all of the instructions carefully.
- To prepare for using the new system, ensure you are able to download the Vonage Desktop App.
- Note: You may not be able to sign into the app until the maintenance window has begun. You will not be able to use the application for calling until your number has been transferred to the new service.
- Have a headset or headphones with a microphone ready in your workspace for managing calls via softphone. If you do not have a headset, work with your department to purchase one. ITS recommends the following headsets: (Available on Mason Dell and CDWG Sites)
During Implementation
- Use the Vonage Desktop App to access your softphone.
- Manage your calling experience and get familiar with basic functions. To adjust your account, see Configuring Vonage Application Settings.
- Five-digit dialing will not be supported until all Mason users are transferred to Vonage.
- When placing or transferring calls, enter all ten digits of the phone number (i.e., Dial 703-993-8870 instead of 38870).
- Dialing 9 is no longer necessary for external calls.
- You do not need to be present during installation. Technicians are granted access to each workspace by a Mason Police Cadet or member of the department.
- All Avaya desk phones will be disconnected and removed. The Avaya phones will be replaced with Vonage desk phones as requested. During the replacement, users will receive a printed Quick Start Guide. To learn more about your new device, see Mason Phones and User Guides.
- You may lose internet connectivity to your computer while the desk phone is being removed or replaced (Remote workstations that rely on internet connection from their on-campus workspace will be impacted while the phone is being removed and replaced.
After Implementation
- You will receive notifications from ITS when your building installation is complete.
- Managing your Vonage calls via MS Teams will be available shortly after your number is converted, however, this functionality could take up to one week to appear. Once the integration is complete you will see a dial pad in MS Teams.
- Note: The Vonage calling integration with MS Teams is dependent on the MS license type assigned to a particular user. Not all Vonage users will be able to use MS Teams to manage calls. If you are unable to place calls through Teams and believe you should have the ability to do so, please contact the ITS Support Center.
- You will no longer be able to listen to voicemail or manage voicemail greetings via Call Pilot or MS Teams. Set your Voicemail PIN and create your new greeting in Vonage as soon as possible. Additional information on managing your voicemail can be found in the Vonage Desktop App Guide.
