MS Teams Recording

MS Teams meetings can be recorded for future viewing. The recording captures audio, video, and screen sharing activity and can be shared securely across your organization.

How to record

Once the meeting begins, navigate to the "..." and a drop-down will appear with more options. There you can start and stop recording. On that same menu, you can also start and stop Live Transcriptions.

Currently, recording is not available for 1:1 meetings or phone calls.

Who can start/stop the recording?

If the meeting is scheduled or hosted by a person using their Mason MS Teams licensed account, the recording can be managed by any attendee in the meeting using their Mason MS Teams licensed account. Attendees who have not authenticated, or are from other organizations, will be listed as "guest" and not manage the recording.

Additional Information:

  • Recording continues even if the person who started the recording has left the meeting. It is recommended that the host or person in charge stop the recording, or the host ends the meeting for everyone upon leaving.
  • The recording will automatically stop once everyone leaves the meeting. The recording will automatically end after four hours if someone forgets to leave.

Where to find your recording

Recordings are available in different places depending on the type of meeting.

  • The recording is processed and saved to SharePoint if it was a channel meeting or OneDrive if it was any other type of meeting.
  • The meeting recording shows up in the meeting chat or the channel conversation (if your meeting was in a channel).

Recording Retention Policy

New MS Teams recordings will be stored with expiration dates starting early 2022. This change may reach some Mason accounts before others as Microsoft rolls out this change across our environment. The default expiration period will vary between 30 and 120 days. This default cannot be changed for your account. If you need to keep a recording longer than the standard period, you can:

  1. Change the recording's expiration. Once the recording is complete and appears in the chat, open the details pane to view or change the expiration date.
  2. Go to My files in your OneDrive or SharePoint site and view as a list. Mouse over the recording in question, select Show actions (the three vertical dots to the right of the file name), and then choose Details. Look for the expiration date in the details pane. Extend the recording's availability for a certain number of days or pick a specific date on the calendar. You can also choose "No expiration" if you do not want it deleted.
    • The message indicating that your recording is set to expire will persist on the recording in the chat even if you remove the expiration date.
    • The owner of the recording will get an email when it expires. At that point, they will still have up to 90 days to recover it from the recycle bin.
  3. Download the recording and re-upload it to OneDrive.

NOTE:

Review the policies for Records Management to determine how long you need to retain your recordings. There are also HR recording policies for web conference interviews, and FERPA guidelines must be followed for any class recordings.
