LISTSERV Best Practices Guide

Whether you’re a subscriber or a list owner, adhering to these best practices will ensure smooth operation and maximum benefits from your LISTSERV experience.

For Subscribers

Sending to a LISTSERV

When sending messages to a LISTSERV, it’s essential to follow these best practices:

Use Cloud Storage for Large Attachments and Images.

  • Most email systems have limitations on attachment sizes. To avoid issues upload large attachments or images to the cloud or departmental storage. Then, include a link to the attachment in your email. This ensures smooth delivery without overloading email servers.

Avoid Copying from Microsoft Word.

  • Copying text from Microsoft Word into emails can lead to formatting issues. For longer emails with complex formatting, it’s better to compose them within your email client to ensure proper display across all devices and email clients.

Always Use a Common Font.

  • Use standard fonts like Helvetica, Arial, or Times New Roman to ensure consistent display across different systems. Using specialized fonts may lead to unexpected formatting changes, making your message difficult for recipients to read.

Never Rely Solely on Images for Information.

  • Ensure your message content is accessible to everyone, including those with disabilities. Avoid using images as the sole source of information, as this may render the message inaccessible to certain individuals.

Managing a LISTSERV effectively requires attention to detail and adherence to these best practices. By following these best practices, you can effectively manage your LISTSERV, cultivate a thriving community, and maximize benefits for all participants.

Clearly Define the Purpose and Guidelines.

  • Communicate the purpose, expected behavior, and guidelines for your LISTSERV to maintain a positive and respectful community environment.

Assign Moderators.

  • Designate one or more moderators to oversee discussions, review messages, and ensure adherence to guidelines. Regular moderation helps maintain quality and integrity within the community.
