Per University Policy 1114 Data Stewardship, all MESA shares must be audited once per year to ensure that there is no unauthorized access.
Instructions to certify shares are in the Technical Point of Contact section below.
Step 1
Open a web browser and navigate to tools.gmu.edu. Log in with your Patriot Pass credentials.
Step 2
Select Audit Shares from the left-hand menu.
Step 3
Select the share that you wish to audit. If it has already been audited by another share administrator, you will see a screen thanking you for completing the audit and no further action is necessary. If the audit has already been certified by the Technical Point of Contact, it will not show up in this list and you will not be required to audit it for another year.
Step 4
Select which users are and are not authorized for access. If you’d like to add a comment to your audit, type it in the comment box and select Add Comment. This will be seen by your Technical Point of Contact when they certify your audit. Example: Ask about a user's status or explain your decision to revoke a user's access. Select Update.
A list of users that you selected No for in the previous step will be displayed. Select Yes, remove access if you are satisfied with your selections. If you’d like to make a change, select No, don’t remove access and you will be directed to the previous page.
Step 5
If you are a Share Administrator, your portion of the audit process is complete. This share will remain in your list of shares that need to be audited until your Technical Point of Contact certifies it.
Technical Point of Contact
You will see a list of NetID usernames and if they have been approved or denied for access. If you are satisfied with your choices, select I Certify This Audit is Correct.
Your share is now successfully audited and certified. You'll notice that it no longer exists in the list of shares that need audited. You will receive an email in one year reminding you to audit your shares again.
