Getting Started with Zoom AI Companion

Zoom AI Companion is available for George Mason Zoom Pro Licensed users to enable. Zoom AI Companion is unavailable with Zoom Secure and Zoom Basic Licenses. For more information on licensing, see Zoom FAQs.

DO NOT enable/use AI in any meeting where sensitive information will be shared/discussed.

Configure Your Zoom AI Companion Experience

To enable Zoom AI companion features in your account, log in via https://gmu.zoom.us/ and click Settings. At the top of the page will be the new AI Companion settings. There, choose which features to enable and configure your experience.

My Notes 

My Notes is a personal note-taking capability that lets you take notes during a meeting or webinar and enhance them with a transcript. Accessible from the Zoom desktop app, use My notes for Zoom Meetings, Zoom Webinars, in-person meetings, or virtual meetings on other platforms.

For meetings you host or attend, you can start or stop My Notes through the pencil icon in the upper-right corner of the Zoom meeting screen. 

Meeting Summary

For meetings you host, you can start or stop the meeting summary through the in-meeting controls. Summarization of the meeting only begins when the host or co-host clicks Start Summary. Users can also adjust their settings to have Meeting Summary start when the meeting starts, skipping the need to enable summary generation manually.

Note: This does not require the host to be present, as Meeting Summary generation will begin as soon as someone starts your meeting.

Participants will see a notification when the meeting summary starts. The notification type will depend on the participants’ client version.

Participants may also request that the host enable Meeting Summary during a meeting.

Smart Recording

This allows you to organize your cloud recording into sections, called smart chapters, get key takeaways in a quick and digestible format through recording highlights, identify action items to take after the meeting or webinar with the next steps, and provide the host analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience.

Whiteboard

Users can leverage Whiteboard Content Generation with AI Companion to unlock visual ideation for an improved Whiteboard experience. Users can generate ideas, refine and extend existing content, and add objects to a canvas with just one click.

Host Responsibilities

When using the Zoom AI Companion features in a meeting, there are several things the host is responsible for:

Before or during the meeting

  • Inform meeting participants that AI Companion, My Notes, Meeting Summary, Smart Recording, or other AI features are being used in the meeting. 
  • Provide a short explanation of what AI features are being used and how participants can interact with the AI

After the Meeting

The meeting summary will only be made available to the host after the meeting concludes.

My Notes 

The resulting notes belong to the note taker and are not automatically shared with the meeting or webinar host or other participants. 

Before saving or sharing the meeting transcript, My Notes, or any AI-generated content, the host/content owner must do the following: 

Review Content
  • Read through the meeting notes carefully. Pay attention to key points, action items, decisions, and other relevant information.
  • Ensure that the content accurately reflects what was discussed during the meeting.
Check for Confidential Information
  • Scrutinize the notes for any sensitive or confidential information.
  • Remove or redact any details that should not be shared externally.
Check for Clarity and Coherence
  • Verify that the notes are clear and coherent. Look out for any confusing or ambiguous sentences.
  • Correct any grammatical errors or awkward phrasing.
Confirm Action Items
  • Check if action items, tasks, or follow-ups are accurately recorded.
  • Make sure responsibilities are assigned to the correct individuals.
Verify Attachments and Links
  • If the notes have attachments or links, validate their accuracy.
  • Ensure that any URLs are functional and lead to the intended resources.

Disabling Zoom AI Companion

You can enable and disable the Zoom AI Companion settings for all meetings you host. To disable Zoom AI features, follow the instructions in Configure your Zoom AI Companion Experience, then toggle the setting(s) “off.” 

Note: Meeting attendees are encouraged to communicate with the host if they prefer to have AI tools enabled/disabled during the session.
