Training Requirements

All users requesting access to Banner applications are required to complete the following training:

  • IT Security: IT Security Awareness Training
  • Banner Admin Apps: Family Educational Rights and Privacy Act (FERPA) Training
  • IT Role-Based Training: Highly Sensitive Data Custodian Training

Additional training for specific access requests:

  • If EPAF or Labor Distribution access is requested, users must complete:
    • Electronic Personnel Access Forms (EPAF) Access: EPAF Training
    • Labor Distribution Access: Labor Distribution Training

Student-related access:

  • The Registrar’s Office may require additional training for student-related access, such as:
    • Banner Navigation

The updated workflow will check training statuses and assign and restrict access until the training is complete. User action will only be required for new hires and during regular training renewals.

Procedure for Requesting, Changing, or Removing Access to Banner Products

Requesting or Changing Access to Banner Products

    1. Request: The requestor selects the person who is to be granted access and fills in information about the access being requested.
    2. The Supervisor of the person to get access approves or disapproves the request and electronically signs. Note: The supervisor will see a list of the training that is required for that access and if it has been completed or not. The workflow will have assigned the training in MasonLEAPS, so the supervisor will not need to do it.
    3. The Employee to receive access completes the required training in MasonLEAPS.
    4. After completing the required training, the employee must access the workflow request, review and agree to the confidentiality statement, and sign electronically.
  1. The request is routed to the Banner Liaison, who reviews for accuracy and approves or denies the request.
  2. Approved requests route to the Banner Security Officer(s), who grant the access.
  3. If required, the request is routed to the database administrators who create the account.
  4. The BSO reviews the access that was granted and marks the request as complete. Emails are sent to the requestor, supervisor, and employee notifying them that the access is ready.

Q: What training is required to receive Banner-related access?

A: All access requests require the following training and can be found in MasonLEAPS.

Q: What triggers the training requirements?

A: Training is triggered when any of the “Select Access Area” checkboxes are selected.

Q: I completed my training. Are there other steps?

A: Yes. After completing the training, you must reopen the Workflow, agree to the confidentiality statement, and sign electronically. This action triggers an update from MasonLEAPS, reflecting your completed training and allowing the request to proceed.

Q: What happens if I have not completed the required training?

A: If the required training has not been completed, you will not be able to proceed with the Banner access request. You must first complete the appropriate training in MasonLEAPS. Once the training is finished, reopen the Workflow and sign the confidentiality statement to continue the process.

Q: Who can initiate a Workflow?

A: Any user can initiate a Workflow, either for themselves or on behalf of another user.

Q: How is the supervisor determined?

A: Supervisor information is retrieved from Banner. If the employee is an (NP) No Pay Affiliate, a George Mason employee must be designated as their supervisor.

Q: How is the Liaison determined?

A: The Liaison is selected by the supervisor. If the incorrect Liaison is chosen, the request should be returned for revision. Please see the Finance/HR and Student Banner Liaison List for a list of the Banner Liaisons for the university.

Q: I require access to Student Accounts billing data; however, I’m not sure which finance liaison I should send my request to.

A: To ensure your request for access to Student Accounts billing data is properly approved, you should select your unit’s Banner Finance Liaison, not the Student Accounts Finance Liaison. Please see the Finance/HR and Student Banner Liaison List for a list of the HR/Finance Liaisons for the university.

Q: How long will it take to process?

A: Processing times may vary depending on the type of request and whether or not the required training has been completed. To check the status of your Workflow:

  • Open the email notification you received. Below is a screenshot of the email address.

  • Click the link for the Case Number in the email to view the task.

  • The Workflow page will display the current status and any pending actions.
Q: How do I request MicroStrategy report access?

Q: Who do I contact if I have a question?

Q: I’m a developer and I require access to non-production data. How is this type of request processed?
